Veritas Executive Assistant in Munich, Germany

Duties and Key Responsibilities

This role of the Executive Assistant is to provide proactive, comprehensive support to the Regional Vice President of Central. You will ensure that the VP’s time is well managed and planned ensuring their targets, goals and objectives are met. You will also be acting as the first point of contact to the Vice President by taking ownership of requests received, communicating and actioning them in a timely and appropriate manner.

To provide a top level administrative and operational support with a broad range of responsibilities, to include, but not limited to:

Diary management and meeting coordination for the Vice PresidentBooking and coordinating of global and complex travel/offsite arrangements for the Vice President Preparing for all business meetings, including all logistics and taking minutes where requiredPreparing reports and presentations, producing high quality PowerPoint presentations, often with minimal guidance Set up, management of and participation in regular team meetings, conference calls and WebEx conferences including collating and sharing materialsCollating information and data for Vice President to produce various monthly and quarterly reportsBudget management and expense tracking, expenses management for the Vice President Raising purchase orders in Oracle, invoice processing and liaising with suppliersMaintaining and updating organisation chartsAct as prime liaison with other departments such as IT, Facilities, Travel, wider administrative group, etc to ensure smooth management of the team’s serviceOccasional administrative support and coordination for visiting Executives Assisting with key projects as requiredAct as a conduit for information between the VP and the wider team using discretion and judgement to ensure key messages and actions are delivered. Act as site coordinator for the Veritas Insite programme in the Munich office, proposing and organising employee events and engagement, tracking the managed budget and reporting on the impact of the programme regularly.
